This class is responsible for processing, monitoring and verifying payments and expenditures. This class works under a general guideline of work to be performed under general supervision.
 Position Duties:
The tasks listed below are those that represent the majority of the time spent working in this class. Management may assign additional related tasks as necessary.
  • Receives and verifies invoices and requisitions for goods and services.
  • Researches and verifies that transactions comply with established policies, procedures and laws.
  • Logs all accounts payable information and maintains all accounts payable files.
  • Prepare and enter invoices for payment.
  • Processes check requests; prepares manual checks as needed.
  • Prepares financial reports by collecting, analyzing and summarizing data.
  • Provides professional and courteous customer service to the public, vendors and co-workers assisting with problem resolution and referring individuals to the appropriate resource for assistance.
  • Regular, dependable and punctual attendance is an essential function of this job.

FUNCTIONAL AREAS:
Off-Duty / Accounts Receivable
  • Processes travel and training vouchers, calculates expenses and makes necessary payments to employees and vendors.
  • Receives cash and checks. Prepares deposits, cash reports and posts to general ledger.
  • Interacts with vendors regarding invoices and/or payments regarding off duty employment.
  • Coordinates and maintains off duty work details and creates associated invoices and billing.

Accounts Payable
  • Maintains various logs, files and records in accordance with rules and regulation.
  • Receives and verifies invoices and requisitions for good and services.
  • Researches and verifies that transactions comply with established policies, procedures and laws.
  • Logs all accounts payable information and maintains all accounts payable files.
  • Prepare and enter invoices for payment.
  • Processes check requests; prepares manual checks as needed.
  • Prepares financial reports by collecting, analyzing and summarizing data.

 Minimum Qualifications:

  • Bachelor's degree in Accounting or related field and a minimum of one (1) year of professional experience with accounting and financial reporting.
  • Proficient computer skills including Microsoft Office Suite (specific proficiency in Microsoft Excel).
  • Strong work ethics with an attention to detail
  • Good verbal and written communication skills.
  • Reconciliation of bank account and account analysis experience preferred.
  • Preference will be given to those candidates with Governmental Accounting Experience
  • Friendly, courteous, professional, and customer-service oriented.

 Additional Information:
Work is performed in an office environment; completed during normal business hours (Monday - Friday 8am-5pm); flexibility is required to meet operational needs.

Employees may have contact with inmate trustees.
